Corporate event photos: the privacy questions to settle first
Settle four things before the event: that attendance and photography are announced, that face matching is optional for staff, that the data stays in Australia, and that there is a deletion route an employee can use without asking their manager.
Why a work event is different
At a wedding, guests choose to attend and can decline a photo without consequence. At a work event the power dynamic is different, and “optional” has to be genuinely optional. That is worth designing for rather than assuming.
The four things to settle
- Announce it. Tell people in advance that photos will be collected and how.
- Keep matching optional and unremarkable. Nobody should have to explain why they opted out.
- Know where the data lives. RSVPix stores in Amazon Web Services ap-southeast-2 (Sydney).
- Give people a deletion route that does not go through their manager. On RSVPix, an employee raises a support request from their own account.
What helps
Every gallery opens only after signing in, and that sign-in is locked to your event. A guest cannot reach another event’s photos, and neither can anyone outside yours. For a corporate buyer that is usually the point that matters most: a photo of your staff is not reachable by anyone outside the event.
You review what guests upload and decide what appears before anyone else sees it.
What we will not tell you
That this makes you compliant. Compliance depends on your organisation, your jurisdiction and your own privacy obligations, and it is a question for your privacy officer or adviser, not for a vendor page.
