How does QR code photo sharing work at an event?

A QR code printed on a sign opens a web page on the guest’s phone. From there they can upload the photos they have taken and, on platforms that support it, ask for the photos they appear in. Nothing is installed — the phone’s camera app recognises the code and opens the browser.

What actually happens, step by step

  1. The guest points their phone camera at the code. Every current iPhone and Android does this without an app.
  2. A notification appears; tapping it opens the event page in the browser.
  3. The guest uploads photos from their camera roll.
  4. On a platform with matching, the guest also submits one selfie and receives a gallery of the photos they are in.

Why placement beats technology

Every platform in this category produces roughly the same QR code. What differs is whether anyone scans it. Signs on tables get scanned; signs by the entrance get walked past. A mention in the invitation beforehand does more than a bigger sign on the night.

Do QR codes need an app to scan?

No. The built-in camera app on any current iPhone or Android recognises a QR code and offers to open the link.

What if the venue has no reception?

Guests can upload later — without signing in while the event window is open (it closes two hours after the event, or 24 for a multi-day one), and by signing in after that for as long as the gallery is open. Tell them that on the sign so they do not assume it is broken.
